How hotel reservations will work

There will be a web page available within a few days that will let you make your reservations for the hotel. We need to wait until we're sure that the coding will work for our little special arrangement. Here's how it will work:

You will be able to make your reservations as you would normally. If you need to cancel, do it before April 25, which is 2 months out. On that day, a charge of one night's stay plus tax (about $131) will be made to the credit card that you used to make the reservation. Be sure that the card can handle the charge that day! The charge is non-refundable after that point, and will be credited to your hotel bill when you check out. We do not know exactly when on that day the charge will be made (12:01 AM EDT? noon? 5 PM?), so we do not recommend waiting until the last minute to cancel.

The Omni will work exactly the same way, except the date of the charge will be May 2, one week later. This way if any rooms free up at the Westin on the 24th, folks with reservations at the Omni will still have an opportunity to switch to the Westin.

A note for dealers: Some of you prefer to wait to see if you have gotten a dealer table before making your hotel reservation. We do not recommend that. Last year our dealer's room did not fill up until very late in the Spring, so it is most likely that your table will be available for you. We expect dealer registration to be available shortly.

I'm saving up for the hotel reservation right now... I pray to actually stay at the Westin again. I *need* a hotel room there. The Omni would be a huge inconvenience.

fair enough. I only go to one con a year and it's Anthrocon. I plan my year around it, so canceling early has never been an issue for me, if i don't attend after reserving a room something terrible must've happened.

To make sure I understand this, am I making my registration with you or the hotel? Who is keeping my credit card information on file and who charges me, you or the hotel? If I cancel after your deadline, who gets to keep my money, you or the hotel? If I cancel and the hotel still ends up full who gets my money, you or the hotel?

To expand on this a bit for the questioner....

AnthroCon is a convention. There's a lot of things involved with a
convention.

When it comes to signing up for the convention itself,
you will register with AnthroCon.
Everythng else involves someone else.

When it comes to "where am I staying?" as in, anything concerning
a hotel room,
that is between YOU and the HOTEL.
That having been said, if you're being reasonable, and making
a good-faith effort to avoid problems, and resolve problems,
and there are still problems, you can direct your question
to an AC staffer on the committee covering the hotels.
If it's the Westin, they've also provided us with a staffer
who reviews the threads to a degree and tries to help.

When it comes to "how am I getting to AC?",
that's travel-related, and between you and however you
get there- whether by car, plane, train, or bus.
(Pittsburgh accomodates all of those, since it has roads,
a Greyhound depot, a major airport, and an Amtrak
station which is down the block from the Westin.)
AC can offer advice and directions, but you work out the
specifics on your own.

When it comes to anything else, that's the job of whoever
else. For example, some of the AC events will be ones
where a little preparation is good- like my LARP.
In that case, you communicate with someone running it.
In my example, that would be me, and there will be
notices on who is the contact when such events are
mentioned. (Which is not just yet.)

In general, note that getting to AC, staying (hotel)
at AC, and registering for the convention are 3 different
things, and each has to be addressed in turn.

Oh this is so great...I can't wait til I have the opportunity to reserve my room. I need to get in touch with my friends and see who can make it again this year. Had a blast at my first con, AC no less, last year and I'm looking forward to coming back each and every year. ^)_(^

When I make the initial reservation (for instance today) is the 1 day's charge taken out now(when I make the reservation), or if I cancel after the deadline?

From the way I read it

up to april 25th at 00:00* hours est you may resevere a room or cancel a room at no charge.

On April 25th 00:01* all current anthrocon Resevations will be charged for one night with no possiblity of getting a refund.

After april 25th 00:01* All new reservations will be charged for one night with no possiblilty for a refund at the time of reservation.

Is this correct?

*all times are guessed but you will be charged on the 25th at some point. So no waiting until the last second.

Yes, you are (mostly) correct, except the time has been clarified to 5 PM hotel time.

The actual deadline to cancel your reservation is 62 days prior to your arrival date. April 25 is an average, but some folks will have an extra day afterward, and some will have to cancel a day or two earlier if they want to.
